A service of GoldVine Tree LLC, doing business as BusyBees Manager (“BBM,” “we,” “us,” or “our”).
This Privacy Policy explains what information we collect when you use the BusyBees Manager website and application (the “Service”), how we use it, and the choices you have.
By creating an account or using the Service, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the Service.
The Service is currently offered as a beta, pre-release version, as described in our Terms of Service. This Privacy Policy applies in full during the beta period, regardless of whether you’re using a free or paid account.
1. Who This Policy Covers
BusyBees Manager is currently offered to users located in the United States. If you are accessing the Service from outside the United States, please be aware that your information will be transferred to, stored, and processed in the United States.
2. Information We Collect
Information you provide directly
Account information: name, email address, password (stored in encrypted/hashed form), and any display name or profile details you add.
Agency records you create: agency name, address, website, your private notes, your own 1–5 star rating of the agency, employment type (W2/1099), and agency contact details you enter (name, email, phone).
Activation (gig) records you create: activation name, associated agency, location, notes, status (applied/hired/cancelled), pay rate or total pay, and client contact details you enter.
Time, mileage, expense, and per diem entries you log against an activation, including dates, hours, mileage, expense amounts and categories (e.g., parking, tolls, meals), and per diem/stipend amounts.
Payment status information you enter, such as whether you’ve been paid, the amount actually received, and payment dates. BBM does not initiate or process payments between you and any agency — this is simply a personal record you maintain.
Billing information: if you subscribe to a paid plan, payment is handled by our payment processor, Stripe. We do not store your full credit card number on our servers; Stripe collects and processes that information directly. We do receive limited billing metadata from Stripe, such as your subscription tier, billing status, and transaction history.
Support communications: anything you submit through the support ticket form or send to us directly.
Offer codes / referral information, if you use one to sign up.
Consent and acknowledgment records: the date and time you accept these Terms, our Privacy Policy, and any beta or billing-related acknowledgments (for example, confirming you understand the Service is in beta before subscribing). We keep this as a record of your agreement, consistent with our Terms of Service.
Information collected automatically
Usage and device information: such as your IP address, browser type, device type, and general usage patterns within the app (e.g., which pages/features you use), collected to keep the Service running reliably and to improve it.
Cookies and similar technologies: we use cookies or similar technologies necessary to keep you logged in and to operate core site functionality. BusyBees Manager does not currently use any third-party analytics, advertising, or tracking cookies. If that changes in the future, we’ll update this policy to describe the specific tools in use.
Do Not Track signals: some browsers offer a “Do Not Track” (DNT) setting. Because we don’t use analytics or ad-tracking tools, there is currently nothing for a DNT signal to opt out of, and we don’t take any action in response to DNT signals. We’ll revisit this disclosure if that changes.
Location information: we do not collect device GPS or location data. Mileage is entered manually by you within the app.
Information we do not collect
We do not knowingly collect information from anyone under the age of 18. The Service is intended for working adults in the promotional/event staffing industry. See Section 9.
3. How We Use Your Information
We use the information described above to:
Provide, operate, and maintain the Service (e.g., displaying your agencies, activations, and reports back to you)
Process subscription payments and manage your account tier and usage limits
Respond to support requests
Send you service-related communications (e.g., account, billing, or policy notices)
Send you product or marketing communications, where you’ve opted in, which you can opt out of at any time
Monitor and improve the Service’s performance, security, and features
Detect, investigate, and prevent fraud, abuse, or violations of our Terms of Service
Comply with legal obligations
We do not sell your personal information, and we do not share the agency ratings, notes, or personal records you create with any other BBM user, agency, or third party for their own marketing purposes. Your notes and ratings about agencies are private to your account — BusyBees Manager is a personal tracking tool, not a public review platform, and we do not publish, aggregate, or share that content with agencies or other users.
4. How We Share Your Information
We share information only in the following circumstances:
Service providers who help us run BBM, under contractual obligations to protect your data and use it only for the purposes we specify. As of this policy’s effective date, these are the only two third-party services we use:
Legal and safety reasons: if required by law, subpoena, or other legal process, or if we believe in good faith that disclosure is necessary to protect the rights, property, or safety of BBM, our users, or the public.
Business transfers: if BBM (or GoldVine Tree LLC) is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction. We’ll notify you if this happens and your data becomes subject to a different privacy policy.
With your direction: if you specifically ask us to share information (for example, exporting your own data).
We do not share your agency notes, ratings, payment records, or other personal tracking data with the agencies themselves or with any other third party for advertising purposes.
5. Data Retention
We retain your account and activity data for as long as your account is active. If you close your account, we will delete or de-identify your personal information within 60 days, except where we’re required to retain it longer for legal, tax, or fraud-prevention purposes (for example, billing records related to Stripe transactions).
6. Your Privacy Rights
(a) All users
Access and correction: you can view and edit most of your account, agency, and activation information directly within the app at any time.
Deletion: you can request deletion of your account and associated data by contacting us at support@busybeesmanager.com. Some information may be retained as described in Section 5.
Marketing communications: you can opt out of promotional emails/texts at any time using the unsubscribe link or by contacting us.
We extend these same rights to every user, regardless of state of residence, even where a specific state law described below doesn’t yet legally require it of us.
(b) California residents — CCPA/CPRA
California residents have rights under the California Consumer Privacy Act, as amended by the California Privacy Rights Act (together, “CCPA”), including:
Right to Know what personal information we collect, use, and disclose, and why
Right to Delete personal information we’ve collected (subject to legal exceptions)
Right to Correct inaccurate personal information
Right to Opt-Out of the sale or sharing of personal information — BusyBees Manager does not sell or share your personal information, so there is currently nothing to opt out of
Right to Limit use of sensitive personal information
Right to Non-Discrimination for exercising any of these rights
The CCPA’s full set of obligations applies to businesses that meet certain revenue or data-volume thresholds; regardless, we extend the rights above to all California users as a matter of practice. Separately, California’s Online Privacy Protection Act (CalOPPA) requires any operator collecting personal information from California residents to post a privacy policy like this one, with no size threshold — that requirement applies to us today.
Texas residents have rights under the Texas Data Privacy and Security Act (TDPSA), including the right to access, delete, correct, and obtain a portable copy of your personal data, and to opt out of the sale of personal data and of targeted advertising or certain profiling.
The TDPSA exempts businesses that qualify as a “small business” under U.S. Small Business Administration size standards from most of its obligations. Regardless of small-business status, we do not sell sensitive personal information without consent, which the TDPSA requires of businesses of any size.
A growing number of states (including Virginia, Colorado, Connecticut, Utah, and others) have their own comprehensive privacy laws, most granting similar rights to know, delete, correct, and opt out of sale or targeted advertising, and most applying only once a business crosses certain size or data-volume thresholds. If you live in one of these states and want to exercise a privacy right, contact us at support@busybeesmanager.com — we’ll honor reasonable requests regardless of whether your specific state’s law currently applies to us.
7. Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect your information, including encrypted password storage and encrypted data transmission (HTTPS/TLS). However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
8. Third-Party Links
The Service may contain links to agency websites or other third-party sites that you add to your own records. We are not responsible for the privacy practices of those third parties, and this policy does not apply to them.
9. Children’s Privacy
BusyBees Manager is not directed to, and is not intended for use by, anyone under 18 years of age. We do not knowingly collect personal information from children. If we learn we’ve collected information from someone under 18, we will delete it.
10. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we’ll notify you by email or through an in-app notice before the changes take effect. The “Effective date” at the top of this page reflects the most recent update.
